Getting Started

What is WhenWorks?

WhenWorks is a group scheduling web app. An organizer proposes dates or time slots, shares one poll link, and compares participant availability before confirming a meeting.

How do I create a scheduling poll?

Choose "Create Poll," add the event details, select either whole dates or specific time slots, and review the options before publishing. WhenWorks then gives you a link to share with the people whose availability you need.

Do participants need to create an account?

No. Participants can open the shared poll link, add their name, and mark availability without signing up or connecting a calendar. Organizers use an account or the guest management link to manage a poll.

How do I share my poll?

Copy the unique poll link and send it through the communication channel your group already uses. Signed-in organizers can also send email invitations from the poll workflow, subject to the invite allowance shown on the pricing page.

Features

What's the difference between date selection and time slots?

A date poll asks which days work and is useful when the exact hour can be decided later. A time-slot poll asks about complete start and end times, which is better when the group must agree on a specific meeting window.

Can participants indicate "maybe" availability?

Yes! When creating a poll, you can enable the "maybe" option. Participants can then indicate "yes," "maybe," or "no" for each time slot, giving you more nuanced availability data.

Can I see who responded to my poll?

Poll organizers can review submitted responses. The anonymous setting controls whether respondent identities are shown in participant-facing results; it does not turn the poll into a public survey or remove the organizer's need to manage responses.

How do I finalize a meeting time?

Review the response totals, check that required attendees can make the preferred option, and use "Finalize Poll" to confirm the selected time. Finalizing closes the poll to new responses and creates the confirmed event details.

Can I add events to my calendar?

Yes. Finalized poll details can be exported as an .ics calendar file. Direct Google Calendar and Outlook actions are available where the corresponding integration is enabled; current plan availability is listed on the pricing page.

Participants & Responses

Is there a limit to how many people can respond?

The free-plan limit applies to polls created and email invitations sent, not to the number of responses collected on a poll. The pricing page lists the current organizer limits.

Can participants change their response?

There is not currently a self-service edit link for submitted responses. If an answer changes, the participant should contact the organizer so the organizer can account for the change instead of submitting a duplicate response.

What happens when I close a poll?

Closing a poll prevents new responses. Existing responses are preserved, and you can still view results. You can reopen a closed poll if needed.

Pricing & Pro Features

Is WhenWorks really free?

Yes. The free plan currently includes 10 polls and 25 email invitations per month, with unlimited responses to those polls. A paid Pro plan is available for organizers who need higher limits and additional workflow features.

What do I get with WhenWorks Pro?

Pro currently includes unlimited polls and email invitations, templates, advanced analytics, five reminders per poll, branding removal, Google Calendar sync, and unlimited saved friends. It costs $6 monthly or $48 annually; the pricing page is the source of truth for current features and rates.

What is the Pro refund policy?

WhenWorks offers a seven-day refund window for an initial Pro purchase or renewal. The Terms of Service explain eligibility, timing, and the support information needed to request a refund.

How do I cancel my Pro subscription?

Go to Account → Subscription and click "Downgrade to Free." Your Pro features remain active until the end of your billing period. No penalty for canceling.

Privacy & Security

Is my data secure?

WhenWorks uses TLS in transit, managed authentication, database access controls, and row-level security policies. No internet service can promise absolute security, so the Privacy Policy explains the controls, data processors, and limits in more detail.

Do you sell user data?

WhenWorks does not sell personal information. We do share limited data with service providers that operate hosting, authentication, payments, email, analytics, calendar integrations, and advertising as described in the Privacy Policy.

Can I delete my data?

Yes. Polls can be deleted from their management views. Signed-in users can start full account deletion from Account settings; support@whenworks.cc can help if account access is unavailable.

Are polls public or private?

Polls are unlisted rather than publicly indexed: anyone with the unique poll link can view and respond unless the poll is closed. Treat the link as access information and share it only with the intended group.
